File Naming Schema for the “Evidence: Files” Export (ZIP Download)

Overview:
When you download the “Evidence: Files” export from FutureFeed, you receive a ZIP file containing all supporting documents uploaded in your environment. Each file in that ZIP follows a standardized naming format that helps you understand what the document is, where it belongs, and how it’s used.

This article explains how to read and interpret those filenames.


File Name Format:

[CATEGORY]_[CONTEXT]_[ID]_[DESCRIPTION].pdf

Example:
POLICIES_ACTIVE_82292_risk-assessment-policy.pdf


What Each Part Means:

  1. CATEGORY
    Describes the type of document:

    • POLICIES – Policy or governance documents

    • PLANS – Plans like incident response or continuity

    • PROCEDURES – Step-by-step operational guidance

    • WORKSHEETS – Templates or forms supporting evidence collection

    • AGENDAS – Agendas or logs of recurring meetings

  2. CONTEXT
    Indicates the document’s purpose or usage status:

    • ACTIVE – Current and in-use documentation

    • POAM – Linked to a Plan of Action and Milestones (POA&M) item

  3. ID
    A unique identifier for the document, helpful for cross-referencing inside FutureFeed.

  4. DESCRIPTION
    A user-friendly title based on the name of the document in the system. This often reflects the subject or purpose of the file.

  • PROCEDURES_POAM_80920_employee-onboarding-procedure-demo.pdf
    → A procedure tied to a POA&M, with ID 80920, titled “Employee Onboarding Procedure (Demo)”

  • WORKSHEETS_POAM_80963_worksheet.pdf
    → A worksheet supporting a POA&M item, ID 80963

  • AGENDAS_ACTIVE_81567_monthly-change-management-review-board-meeting-agenda.pdf
    → An active meeting agenda with ID 81567


Helpful Tips:

  • Files with POAM in the name were uploaded specifically in response to an open issue or remediation activity.

  • Files labeled ACTIVE are typically part of your current cybersecurity governance set.

  • Use the numeric ID to locate the original entry within your FutureFeed Inventory or POA&M list.
