Using Document Templates Across Subscriptions: Link vs. Copy

FutureFeed supports the use of document templates from shared libraries to help you manage policies, plans, and other standardized content efficiently across multiple subscriptions. This article explains the difference between linked and copied documents, how updates behave, and how to manage your documents for consistency and flexibility.


🔗 Linked vs. Copied Documents

When adding a document from a shared library into a subscription, you can choose how it behaves going forward:

Copy

  • 📄 Creates an independent, editable version of the document in the subscription.
  • 🔄 Changes made in the original template do not affect the copied version.
  • ✅ Best for documents that require customization per subscription.

Link

  • 🔗 Creates a read-only connection to the original library template.
  • 💡 Changes made in the library are instantly reflected in all linked subscriptions.
  • ✅ Best for standardized content that should remain consistent across clients or projects.

🛠️ How to Update a Copied Document

If you’ve already inserted a copied document and want to update it using a newer version from the library:

  1. In your shared library, create or update the revised version of the document (e.g., "Policy v2").
  2. Navigate to the subscription where the old document exists.
  3. Open the document for editing, then switch to the Templates tab.
  4. Select the updated version from the list of available templates.

📝 Note: This replaces the structure and content of the existing document. Any prior edits in the subscription may be lost if not preserved.

If you do not need subscription-specific changes:

  • Use the linked option to ensure:
    • 🔄 Automatic updates
    • 📌 Consistent content across all subscriptions
    • ⏱️ Minimal manual maintenance

You can convert an existing copied document to a linked one by opening the document editor and selecting “Link to Library.” Once linked, it will always reflect the current version of the original template.
