🔐 Understanding Access Rights in FutureFeed

FutureFeed provides flexible access controls to help you manage who can view, edit, or administer your subscription securely. This article explains the four user access levels and what each allows within the platform.

 

👥 Access Levels Explained

1. No Access

  • User cannot log in to the platform.
  • This level is useful when someone needs to be referenced in compliance documentation (e.g., assigned to roles or responsibilities) but should not interact with FutureFeed directly.
  • Example: An HR Manager may be assigned to a control but doesn’t need access to the system.

2. Standard Access

  • Provides read/write access to most areas of the platform:
    • Create and manage documents, policies, POA&Ms, workflows, and more
    • View assessment progress and evidence
    • Access the User Manager to view users and manage roles and teams
  • Limitations:
    • Cannot add or remove users
    • Cannot change other users' access levels or roles

3. Admin Access

  • Grants full administrative rights:
    • Add and remove users
    • Change user access levels and roles
    • Configure subscription-level settings

⚠️ Note: Admin Access should be limited to trusted personnel with responsibility for managing users and overall configuration.


4. Assessor Access

Read-only access limited to the SSP Subway Stop

This access level is tailored for assessors who need visibility into the SSP without the ability to modify anything.

Assessor Capabilities:

  • View and expand SSP Subway Stop sections
  • Access linked evidence, artifacts, and documentation

Restrictions:

  • Cannot upload, delete, or modify any content
  • Cannot change checkboxes or interact with workflow elements
  • Cannot access the User Manager or platform settings

💡 Tip:
Some teams assign Standard Access to assessors and ask them not to make changes. This allows for smoother collaboration and real-time walkthroughs during screen shares, while keeping the process efficient.


🧾 Affiliation: Employee vs. 3rd Party

The Affiliation field is used only for grouping and filtering users.
It has no impact on access permissions or platform functionality.


🔁 Managing Teams

Teams are used to organize responsibilities and assign tasks across users.
They are not tied to access levels, and any logged-in user, regardless of role, can create or manage teams.


🔐 Who Can Change Access Levels?

Only users with Admin Access can:

  • Add or remove users
  • Modify user access levels and roles

If you are unable to make these changes, please contact someone with Admin privileges in your subscription.
